OUTLOOK EVENT ACTIVATION operates the OTXAD platform (hereinafter referred to as "OTXAD"), which is India's dedicated marketplace for mandap decorators, event agencies, and event materials.

2. WHAT DATA DO WE COLLECT ABOUT YOU?

2.1 Data Provided Through Direct Interactions

Registration and Account Information

When you register to use our Services, we may collect:

  • Mobile number (if registered via phone)
  • Email address (if registered via email)
  • First name, last name, email address, and profile information from Google/Facebook/Apple ID
  • Your full name
  • Business name and registration details
  • Business address and location
  • Service details and product information
  • Credit card/debit card details for paid services
  • Identity proof for KYC verification (if opted)

Communication Through Chat Feature

When you use our chat feature to communicate with other users, we collect information that you choose to provide through this feature.

2.2 Data We Collect Automatically When You Use Our Services

Device Information

We collect device-specific information such as operating system version, unique identifiers, and the name of the mobile network you are using. We associate device identifiers with your OTXAD account.

Location Information

Depending on your device permissions, if you post an item on our Platform, we automatically collect and process information about your actual location using IP address, GPS, Wi-Fi access points and mobile towers. Your location data allows you to see user items near you and helps you post items within your location.

Browsing Data

We collect clickstream data and information about how you interact with our Platform, including pages visited, items viewed, search queries, and time spent on pages.

Cookies

We may use cookies to manage user sessions and store preferences, tracking information, and language selection. Cookies are small text files transferred by a web server to your hard drive.

3. WHY DO WE PROCESS YOUR PERSONAL INFORMATION?

  • We use mobile number verification and SMS validation to ensure each account is real and unique
  • We access and analyze chat messages for customer satisfaction, safety and fraud prevention
  • We make use of algorithms to recognize suspicious or fraudulent user behavior
  • We collect device information to determine whether the same device is being used
  • We may monitor email usage to flag words associated with spam or scams

3.4 For Marketing and Promotional Communications

  • We may contact you through registered mobile number or email to take feedback about our Services
  • We use your email address and mobile number to make suggestions and recommendations
  • We use clickstream data to monitor and report campaign delivery effectiveness
  • If you choose to receive marketing communications, we will send them by your preferred means

We will communicate with you by email, SMS or in-app notifications to confirm registration, inform you when your ad listing has become live/expired and other transactional messages. As these transactional messages are important, you may not be able to opt-out of them.

6. WHO DO WE SHARE YOUR DATA WITH?

Corporate Affiliates

We may share your data with our group companies which help us provide business operation services such as product enhancements, customer support and fraud detection.

Select Partners

We may share your personal information (name, phone number and email address) with select partners who have agreed to respect and protect your privacy in the same manner we do. These partners may utilize your information to deliver services tailored to your preferences and interests.

Third Party Service Providers

We use third party service providers to help us deliver certain aspects of our Services, for example, cloud storage facilities, payment processing, and analytics. We conduct checks on our third-party service providers and require them to respect the security of your personal data.

The data we collect about you will be stored and processed in secure servers to provide the best possible user experience. We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for satisfying any legal, accounting, or reporting requirements.

We consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorized use or disclosure, the purposes for which we process it, and the applicable legal requirements when determining retention periods.

8. YOUR RIGHTS - DATA DELETION REQUESTS

To exercise your privacy rights and choices, if you do not want us to process your data, you can use the Data Deletion Requests feature. The option to request data deletion is available under Account > Settings > "Deactivate account and delete my data"

There may be situations where we cannot grant your request — for example, if you ask us to delete your transaction data and OTXAD is legally obligated to keep it to comply with law.

9. TECHNICAL AND ORGANIZATIONAL MEASURES AND PROCESSING SECURITY

All information we receive about you is stored on secure servers and we have implemented technical and organizational measures that are suitable and necessary to protect your personal data.

OTXAD continually evaluates the security of its network and internal information security program, which is designed to:

  • Help secure your data against accidental or unlawful loss, access or disclosure
  • Identify reasonably foreseeable risks to the security of the OTXAD network
  • Minimize security risks, including through risk assessment and regular testing

We ensure that all payment data are encrypted using SSL technology. Please note, despite the measures we have implemented, the transfer of data through the Internet is never completely secure and there is a risk your personal data may be accessed by unauthorized third parties.
